Workflow for Managing Visits

The following is an example of a workflow for managing Visits. (This is presented only as an example to help a site to formulate its own policy.)

Note: This sample workflow does not include the use of the Visitor Management Web Portal. See Managing Visits with the Visitor Management Web application for an example of a workflow that uses the Web Portal.

Planning Phase

If you plan to use Temporary Credentials for Visitors, establish a reserve of Temporary Credentials for use with Visits.

Refer to the Credentials chapter of the C•CURE 9000 Personnel Configuration Guide.

Create a Visit object for each planned Visit.

Creating a Visit

On the Visit General tab, either use the Find button to add existing Personnel to the list of Visitors, or use the New button to create a new Personnel record to represent each Visitor.

Right-click on a Visitor and click Assign Temporary Credential (if you are issuing Temporary Credentials to Visitors). (You can also assign a Temporary Credential from the Personnel editor Credentials tab.)

Select an Unassigned Temporary Credential from the list that appears.

Use the Find button to add the Host(s) for the Visit

Select Notify if you want the Host to receive a notification Email when the Visitors arrive. Unselect Notify if you do not want to Host to receive a notification Email when the Visitors arrive.

On the Visit Clearances tab, click Add to add the needed Clearances to the Visit. (Optional)

When Visitors arrive for the Visit, either:

Right-click on the Visit in the Visit Dynamic View and choose Check In Visitors.

Or

Use the Visit Status tab to Check In the visitors.

Host receives Notify Email when Visitors check in, if selected and Email address is configured in the Host's Personnel record.

End of the Visit

When the visitors complete the Visit, either:

Right-click on the Visit in the Visit Dynamic View and choose Check Out Visitors.

Or

Use the Visit Status tab to Check Out the Visitors.

Optionally, you can use Check Out and Return Card to both check out the visitor and return their Temporary Credential to Unassigned status.

This removes the credential and the visit Clearances from the visitor's Personnel record.

You should only use this if the physical badge representing the credential is returned by the Visitor.

Return Temporary Credentials

Visitors can also use a door with the automatic check-out reader for exit.
