Editing a Visit

You can edit a Visit from the Visit Details screen. This screen allows you to configure a new Visit or edit an existing one.

For field definitions, see Visit Details.

  1. On the Visitor Management application, select a Visit Site. See Selecting a Visit Site from the Visitor Management application.
  2. Select any of the following options:
    • Click a visit's name.
    • Right-click a visit and select Edit.
    • Click a visit's options button and select Edit.

    The Edit Visit screen is displayed.

  3. Optional: To change the Visit Site, in the Visit Sites field, select the Visit Site.
  4. To use a Visit Template, in the Visit Template field, select the Visit Template for the Visit.

    If you change the Visit Template for a Visit, only the Clearances (permissions for accessing Doors) associated with the Visit Template change for the Visit.

  5. To set the start date and start time for the Visit, click the Start field, select the date and time, and then click Set.
  6. To set the end date and end time for the Visit, click the End field, select the date and time, and then click Set.
  7. To add a visitor to the visit, click the Add a Visitor field, and select either of the following options:
    • Begin typing a host name. Select a visitor name from the search results to add the host to the visit.

    • Click Create New Visitor, enter the visitor's information, and click Save.

  8. To add a host to the visit, click the Add a Host field, and begin typing a host name. Select a host name from the search results to add the host to the visit.
  9. Click Additional Details (if applicable) to modify custom information for the Visit.
    1. Type or edit the name for the Visit in the Visit Name field.
    2. Type or edit the description of the Visit in the Description field.
    3. Select the Visitor Instructions text field. Type or edit the instructions for the Visit.
    4. Select the Host Instructions text field. Type or edit the instructions for the Visit.
  10. Click the Documents tab to upload Visit documents.
    1. Click Add New to open the Upload Document field. You can use Drag and Drop to select a document from a folder on your system and upload it to the Visit Portal. See Attaching Documents to a Visit.
    2. Optional: You can also View, Download, or Delete attachments by using the drop-down control in the list of attached documents. See View or Download Attachments for a Visit and Deleting documents from a Visit.
    Note: The selections available vary depending upon the attachment type and the browser you are using.

    If you delete a document from a visit, the document is not deleted from your system.

  11. Select one of the following options:
    • To save the Visit, click Save.
      Note: This option is not available if the visit is already scheduled.
    • To save and email the Visit, click Save and Email, and then select one of the following options:
      • Save changes and notify new visitors, hosts, and any removed visitors.
      • Save changes and notify all visitors and hosts.
