Visit Sites

Visit Site access for a Host depends on the way each Visit Site is configured. The visit administrator can set up each Visit Site for:

  • Allow all Hosts: Every personnel record designated with Can Host Visits can use this Visit Site.
  • Allow all Hosts from partition <partition-name>: Every personnel record designated with Can Host Visits in the partition can use this Visit Site.
  • Custom Selection list: The visit administrator selects specific Hosts that can access this Visit Site.

The following limits are dependent on the Visit Site that the host selects in the Web Portal.

If the current Visit Site is not <All Visit Sites> and the Host has selected a particular Visit Site:

  • Visits created by a Host are created in the partition of the currently selected Visit Site.
  • Visits can be modified without limitations.
  • Hosts can see visits of which they are Host from the selected Visit Site only.

If the current Visit Site is <All Visit Sites>:

  • Hosts can see all visits they created and all visits they are Host for.
  • Hosts cannot create new visits in <All Visit Sites>, they must select a Visit Site to create a new visit.
  • If a Host is editing a visit where the Visit Site is blank, the visit was created with no visit site assigned, or a visit that is in a Visit Site the Host does not have access to, there are limitations to editing:
    • The Host can only change the Visit Site for such a visit to a Visit Site the Host is allowed to access.
    • The Host cannot add, view, edit, or remove Visitors.
    • The Host cannot add or remove Hosts.
    • The Host can add Visitor and Host instructions, attachments, description, save, save and email.

Example:

A Host viewing <All Visit Sites> using the Web Portal can see all visits they created, and visits they did not create but are configured to Host:

  • They cannot create a new visit while viewing <All Visit Sites>, they must select to view a particular Visit Site to create a visit.
  • If they edit a visit with a blank Visit Site, or a visit from a Visit Site that they do not have access, they cannot change Visitors or Hosts.
  • They can add Visitor and Host instructions and attachments, save changes, and save and email the visit to Visitors.
